Leave Management for Retail
Leave Management for Retail businesses
CubeHR's leave management tools are designed to meet the specific needs of retail businesses. CubeHR's leave management system handles everything from holiday requests and approvals to pro-rata calculations, Bradford Factor tracking, and SSP compliance. Built specifically for UK employment law, it supports statutory minimums, carryover rules, and TOIL, all configurable per company, department, or employee.
The difference
Why retail teams use CubeHR for leave management
No more shared spreadsheets with conflicting formulas. CubeHR is the single source of truth for leave balances and history.
28-day statutory minimum, pro-rata for part-timers, bank holiday handling: all built in. You configure the policy, CubeHR enforces it.
Managers approve leave in seconds from their phone. No chasing, no double-checking balances, no manual calendar updates.
In practice
How retail businesses actually use it
A 60-person professional services firm tracked all leave in a shared Google Sheet. Three different versions existed, balances rarely matched, and disputes were common at year-end.
A healthcare provider with 40% part-time staff was manually calculating pro-rata entitlements in Excel, leading to errors and overpayments.
A company with offices in England and Scotland needed different bank holiday calendars for each location, but their existing system only supported one.
The problem
Retail HR problems that leave management solves
Multi-store management
Different stores, different teams, different schedules, all needing consistent HR processes and reporting.
Seasonal workforce scaling
Christmas, summer sales, and promotional periods require rapid scaling up and down. Onboarding speed matters.
Part-time leave calculations
Complex mix of full-time, part-time, and zero-hours contracts means leave entitlements vary widely and are easy to get wrong.
Floor-based workforce
Shop floor staff don't sit at computers. HR tools need to work on mobile or shared tablets.
Questions
Leave Management FAQ
Does CubeHR handle the UK statutory 28-day minimum?
Yes. CubeHR enforces the 5.6-week statutory minimum for full-time employees, including the option to include or exclude bank holidays from that entitlement. Part-time employees get a pro-rata equivalent automatically.
Can employees request half days?
Yes. Leave requests support full days, AM half-days, and PM half-days. You can also configure custom leave units if your company uses hours-based tracking.
How does carryover work?
You set a carryover limit (e.g., 5 days) and an expiry date (e.g., March 31). Unused days up to the limit automatically carry forward. CubeHR deducts from carried-over days first.
Can we have different leave policies for different teams?
Absolutely. Leave policies can be configured at company, location, department, or individual level. A London office could have 25 days while Manchester has 28 - CubeHR handles it all.
Does it integrate with our calendar?
Yes. CubeHR generates iCal feeds that sync with Outlook, Google Calendar, and Apple Calendar. Approved leave appears automatically in your team's calendars.
