Time Tracking

QR clock-in, geofencing and timesheets on any device

CubeHR's time tracking gives you multiple ways for employees to clock in and out: QR codes, kiosk mode, mobile GPS, or manual timesheets. Geofencing ensures people are where they say they are. All data flows into automatic timesheets, overtime calculations, and exportable reports for payroll.

No paid add-on modules. This is what you get on every plan that includes time tracking.

6capabilities
on one employee record

  • QR Code Clock In/Out

Secure HMAC-signed QR codes displayed on screens, printed on lanyards, or scanned from reception kiosks. Two-minute expiry prevents screenshot sharing.

  • GPS Geofencing

Define boundaries around your office, warehouse, or site. Employees can only clock in when physically within range. Configurable radius per location.

  • Kiosk Mode

Turn any Android tablet into a clock-in station. Camera-based QR scanning, PIN fallback, and offline support with automatic sync.

  • Automatic Timesheets

Clock events automatically generate timesheets. Managers review and approve weekly or monthly. Overtime, breaks, and rounding rules applied automatically.

  • Works Offline

Kiosks and mobile apps queue clock events when offline and sync automatically when connection returns. No lost data on site.

  • Payroll Export

Export approved timesheets to CSV, or integrate directly with your payroll provider. Hours, overtime, and absence data, ready to process.

Why it matters

Why businesses pick CubeHR for time tracking

  1. Eliminate buddy punching

QR codes are time-limited and optionally device-bound. Combined with geofencing, it's virtually impossible for someone to clock in for a colleague.

  2. Works for any environment

Office workers use the mobile app. Warehouse teams use a kiosk tablet. Site workers use GPS. Remote workers log hours manually. One system for everyone.

  3. Payroll in minutes, not hours

Approved timesheets export directly to payroll formats. No more manually tallying hours from paper sheets or email confirmations.

In practice

What this actually looks like

Illustrative situations time tracking is built for. They are examples rather than customer case studies.
  • Construction company with multiple sites

    The problem

A 120-person construction firm had no reliable way to track hours across 8 active sites. Paper timesheets were submitted weekly, often incomplete, sometimes fabricated.

    The outcome

Clock-in is tied to the assigned site, and timesheets are built from the clock events themselves rather than re-keyed from paper.

  • Retail chain reception kiosks

    The problem

A retail chain with 12 stores needed a simple, tamper-proof clock-in system that didn't require individual smartphones.

    The outcome

Each store got an Android tablet running CubeHR in kiosk mode. Staff scanned their QR lanyard on arrival. Offline support meant no issues during internet outages.

  • Hybrid office tracking

    The problem

A tech company with 80 employees split between office and home needed to understand office utilisation without micromanaging.

    The outcome

Office-based days were tracked via QR codes at reception. WFH days were logged via the mobile app. Managers got visibility without surveillance.

Questions

Frequently asked

How do QR codes prevent fraud?

Each QR code contains an HMAC-SHA256 cryptographic signature and a Unix timestamp. Codes expire after 2 minutes (configurable) and can optionally be single-use. Screenshot sharing is blocked by the expiry mechanism.

Can we use time tracking without QR codes?

Absolutely. QR codes are optional. You can use GPS clock-in from the mobile app, manual timesheet entry, or kiosk PIN codes. Mix and match by location or team.

Does it comply with UK Working Time Regulations?

Yes. CubeHR can flag when employees exceed the 48-hour weekly average (over 17 weeks), miss 11-hour rest periods between shifts, or skip 20-minute breaks on 6+ hour shifts.

Can managers edit timesheets?

Yes, with full audit trail. Any manual adjustment by a manager is logged: who changed it, what they changed, and when. The original clock event data is always preserved.
