Why it matters

Why businesses pick CubeHR for asset tracking

  1. Never lose track of equipment

Every laptop, phone, and key is registered and assigned. When someone asks "who has the spare monitor?", you know instantly.

  2. Smooth offboarding

The offboarding checklist automatically includes all assets assigned to the departing employee. Nothing gets forgotten.

  3. Budget hardware replacement

Track asset ages, warranty expiry, and condition. Plan replacement cycles based on data, not surprises.

In practice

What this actually looks like

Illustrative situations asset tracking is built for. They are examples rather than customer case studies.
  • Tracking IT equipment across sites

    The problem

A 150-person company has no central record of who holds which laptop. When a device goes missing, nobody can confirm whether it was even company property.

    The outcome

The asset registry tracks every device with serial numbers, assignments and condition, so insurance claims and security reviews start from a definitive list.

  • Offboarding equipment recovery

    The problem

Equipment goes missing when people leave. Chargers, second monitors and phones are rarely asked for back.

    The outcome

The offboarding checklist is generated from what that person actually holds, so every assigned item has to be marked returned or written off before the leaver is closed.

Questions

Frequently asked

Can we track assets not assigned to people?

Yes. Assets can be assigned to locations, departments, or left unassigned (e.g., spare pool). Every asset has a status: in use, available, in repair, retired.

Does it calculate depreciation?

CubeHR tracks purchase price, purchase date, and expected lifespan. You can use this data for depreciation calculations. Direct depreciation calculation is on the roadmap.

Can employees see what's assigned to them?

Yes. Employees see a list of all assets assigned to them in their profile. They can report issues or request returns directly from the app.
