In practice
How hospitality businesses actually use it
A restaurant group uses iPad kiosks at each venue so staff clock in on arrival, and managers compare labour costs against covers in real time
A hotel tracks split shifts for housekeeping teams, automatically calculating overtime and break compliance
The problem
Hospitality HR problems that time tracking solves
High staff turnover
Hospitality has the highest turnover of any sector. Onboarding and offboarding need to be fast and consistent.
Complex shift scheduling
Split shifts, variable hours, seasonal peaks, and last-minute changes make scheduling a constant challenge.
Right to work for transient workforce
High turnover means frequent right to work checks. Missing one can result in fines of up to £20,000 per worker.
Time tracking for non-desk workers
Staff don't have desktops. They need to clock in quickly at the start of a shift without logging into complex systems.
Questions
Time Tracking FAQ
How do QR codes prevent fraud?
Each QR code contains an HMAC-SHA256 cryptographic signature and a Unix timestamp. Codes expire after 2 minutes (configurable) and can optionally be single-use. Screenshot sharing is blocked by the expiry mechanism.
Can we use time tracking without QR codes?
Absolutely. QR codes are optional. You can use GPS clock-in from the mobile app, manual timesheet entry, or kiosk PIN codes. Mix and match by location or team.
Does it comply with UK Working Time Regulations?
Yes. CubeHR can flag when employees exceed the 48-hour weekly average (over 17 weeks), miss 11-hour rest periods between shifts, or skip 20-minute breaks on 6+ hour shifts.
Can managers edit timesheets?
Yes, with full audit trail. Any manual adjustment by a manager is logged: who changed it, what they changed, and when. The original clock event data is always preserved.
